Week Eight: Switching Gears: Enterprise Information Management & Virtual Workflow Process Mapping & Redesign

The owner and chief executive officer (CEO) of “Just-In-Time Staffing” a mid-size health care staffing agency has decided to restructure the company to expand the ability to meet the staffing needs of today’s HIM department that is virtual and of the enterprise information management (EIM) landscapes at the start of the next fiscal year. An HIM consultant was hired to restructure the seven identified HIM and/or related health care positions conducive to a virtual and EIM environment. Create a macro-level (one-page) workflow process redesign depicting each position. Submit a Microsoft Word document at the conclusion of Week Eight no later than Sunday, by 11:59 PM EST. This is an individual assignment.

The final product to submit is a total of four (4) macro-level (one-page each) workflow process redesigns that includes the following:

  • Perform research to identify trending HIM and/or related health care positions that are conducive to a virtual and enterprise information management environment

  • Construct a macro-level workflow process redesign for each position using the National Learning Consortium Five (5) Step Process:
    • Step 1: Determine Boundaries
      • Where does the process start? (beginning step)
      • Where does it end? (last step)
    • Step 2: Who are the Customers for this Process
      • Internal and/or External
    • Step 3: Map Out the “As – Is” Process
      • The current state of the process
      • Write one step of the process on each rectangular post-it note
      • Place these on the map in chronological order (working from left to right or top to bottom)
    • Step 4: Analyze the “As –Is” Process
      • Places where work can pile up
        • Place these on the map between the steps (or on the steps) where the process queues
        • Document all the ideas of how to improve the process
        • Place a √ on the steps that require a check/review
        • Note all the Forks
        • Count the number of steps, handoffs, checks, queues, and forks
      • Step 5: Create the “To Be” Process
        • Using the LEAN Methodology as outlined in the above link, identify and explain the removal of any potential waste along with the strategy to reduce waste as it relates to repetitive tasks, time, and resources
